Hotel accommodation information
Hotel accommodation at the best available congress rates can be reserved through ICS A/S. Bookings can only be made online via www.ehaweb.org. It is possible to make individual reservations online via the congress website. Please note that demand for hotel rooms in June 2008 is high due to other events. In order to avoid disappointment, early booking is recommended. The deadline for guaranteed hotel accommodation is February 29, 2008. Telephone reservations will not be accepted. ICS A/S has reserved a large number of rooms for the 13th Congress of the EHA. However, we do advise you to make your reservation as early as possible in order to have the best choice of available hotels. ICS A/S will operate on a ‘first come first served’ basis.

Confirmation of reservation
Individual reservations will only be confirmed if a credit card guarantee is received together with the booking. The number of nights booked will serve as the basis for your hotel invoice. Please note that the hotel is entitled to charge all pre-booked nights. ICS A/S will confirm your reservation giving details about the hotel reserved including complete address. Group reservations (more than 10 rooms) for exhibitors, companies, travel agencies etc. will be dealt with by ICS A/S by separate contracts.

I. Individual Reservations
Payment
All individual reservations require a credit card guarantee.
Cancellations
For cancellations of individual room reservations received before May 1, 2008 an administration fee of € 40 per room will be charged. One nights cancellation fee will be charged for any cancellations received after that date. In case of no show a fee will be charged equivalent to the full cost of each hotel night booked.
II. Group Reservations (from 10 rooms)
Payment In general, all company block reservations will require the following prepayments. It is the contractor’s responsibility to meet the following deadlines:
- 1st deposit: e 150 per room reservation. An invoice will be sent once the contract is signed.
- 2nd deposit: Balance to be paid by February 1, 2008. In case bookings are made after February 1, 2008, the full amount will be due 14 days after signing the contract.
- All payments are to be made by bank transfer in EUROS. ICS A/S will issue the final invoice minus deposit payments after the congress.
